This a Full Remote job, the offer is available from: United States, Canada, California (USA), Delaware (USA), Louisiana (USA) The Executive Assistant & IT Project Manager is a hybrid role that provides high‑level executive support to the Chief Information Officer (CIO) while independently managing IT initiatives, operational projects, and cross‑functional technology efforts. This role serves as a force multiplier for the CIO: ensuring priorities are executed, projects move forward, and information flows clearly between IT leadership, internal stakeholders, and external partners. The ideal candidate is highly organized, technically fluent (without needing to be hands‑on technical), and comfortable operating with discretion, autonomy, and urgency in a complex IT environment. SALARY: $80,000 to $100,000 per year Actual compensation may vary based on factors such as location, skills, experience, and qualifications. JOB DUTIES: Executive Support – CIO • Act as a trusted partner to the CIO, managing a complex and dynamic calendar, including executive meetings, vendor briefings, leadership forums, and strategic planning sessions. • Prepare agendas, briefing materials, executive summaries, and follow‑up documentation for IT leadership meetings, steering committees, and partner engagements. • Manage confidential and sensitive information related to security, vendors, personnel, and strategy with the highest level of discretion. • Serve as a primary point of coordination between the CIO and IT leadership, legal, finance, operations, and external vendors. • Anticipate CIO needs, proactively flag risks or conflicts, and ensure priorities remain aligned with strategic goals. IT Project & Initiative Management • Manage IT‑led and IT‑adjacent projects from initiation through completion, including system implementations, process improvements, vendor initiatives, and internal programs. • Define project scope, objectives, milestones, timelines, and success criteria in partnership with technical and business stakeholders. • Track dependencies, risks, issues, and action items; provide concise, executive‑level status updates to the CIO and leadership team. • Coordinate cross‑functional teams (IT, security, legal, finance, operations) to ensure accountability and on‑time delivery. • Maintain project documentation, dashboards, and reporting for CIO review. IT Operations & Governance Support • Support IT governance activities, including roadmap planning, prioritization, and portfolio tracking. • Assist with vendor management activities such as scheduling reviews, tracking deliverables, coordinating renewals, and organizing documentation. • Support budgeting, forecasting, and cost‑tracking efforts for IT initiatives as requested. • Help drive standardization of project tracking, meeting cadence, and reporting across the IT organization. Strategic & Ad Hoc Support • Support special initiatives led by the CIO, including security, compliance, data, and transformation efforts. • Identify operational inefficiencies and recommend improvements to IT workflows and executive processes. • Assist with planning and execution of IT leadership offsites, partner meetings, and executive presentations REQUIREMENTS: • 5+ years of experience supporting senior executives and/or managing projects in an IT, technology, or operations environment. • Demonstrated ability to manage multiple IT or technology‑related initiatives with competing priorities. • Strong understanding of IT concepts, systems, and terminology (hands‑on technical skills not required). • Exceptional organizational, communication, and follow‑through skills. • High degree of professionalism, discretion, and sound judgment. • Proficiency with Microsoft 365 (Outlook, Word, Excel, PowerPoint, Teams, Planner) and other project‑tracking tools Preferred Qualifications: • Experience directly supporting a CIO, CTO or IT leadership team. • Formal project management training or certification (PMP, CAPM, Agile, or similar). • Experience working with vendors, SaaS platforms, security initiatives, or enterprise systems. • Background in legal, professional services, or highly regulated environments.
