Part-Time Finance & Legal Operations Manager for Fast-Growing E-commerce & Media Buying Agency

About Us We are Scale Performance Studio, a performance-focused creative & media buying agency working with e-commerce founders and students. We are growing fast and want to professionalize our finance and legal structure before scaling further. We are looking for a highly structured, detail-oriented Finance & Legal Operations Manager who can bring clarity, control, and predictability to our numbers. This is a long-term collaboration. ⸻ Your Core Responsibilities 1. Invoicing & Payments • Create and send monthly invoices to clients • Track incoming payments • Follow up on overdue invoices • Maintain clean billing records • Manage contractor payouts 2. Cashflow Management • Weekly cashflow overview • Forecast next 30 / 60 / 90 days • Identify risk early • Maintain runway clarity 3. Cost Control & Margin Tracking • Track subscriptions and software costs • Monitor contractor costs • Calculate real profit per client • Identify margin leaks 4. Profit Reporting • Monthly profit & loss overview • Revenue breakdown per client • Agency-level profitability dashboard 5. Contract & Legal Admin • Maintain organized contract library • Track client agreements • Ensure deliverables align with contracts • Keep basic legal documentation structured ⸻ What We Are Looking For • Strong experience in finance operations for agencies or e-commerce companies • Experience with US LLC structures preferred • Strong Excel / Google Sheets skills • Experience with tools like Airwallex, Stripe, PayPal, Wise or similar • Highly organized and proactive • Able to create structure from chaos • Strong communication in English Bonus: • Experience working with performance marketing agencies • Experience building finance dashboards ⸻ Scope & Hours • 5–10 hours per week to start • Long-term collaboration • Potential to grow into Finance Lead as we scale ⸻ Important We are not looking for someone who just “does bookkeeping”.
