Job Summary

We are seeking an experienced and skilled Customer Service Representative to join our team in the West Coast Region. As a remote employee, you will work from the comfort of your own home, collaborating with our team to process orders, handle complaints, resolve billing issues, and address other customer inquiries. Your strong communication skills, attention to detail, and ability to work in a fast-paced environment will enable you to thrive in this role and make a significant impact on our customers' experiences.

Key Responsibilities

  • Process orders received via fax, EDI, email, and phone, ensuring timely and accurate fulfillment
  • Verify pricing and shipping dates within 24 hours of receipt, maintaining a high level of attention to detail
  • Maintain order guides and pricing in our software system, ensuring data accuracy and integrity
  • Proactively communicate with production and warehouse teams to avoid potential customer shortages, releasing lots and allocating items as needed
  • Track order fulfillment and communicate with customers regarding any shortages, providing information on availability or suggesting substitute items
  • Collaborate with the accounting department to resolve credit issues and release orders, ensuring seamless and efficient processing
  • Process PO change requests, returns, and samples, maintaining a high level of organization and attention to detail
  • Handle customer issues and complaints, referring them to the appropriate department and logging them into our system, following up to ensure resolution
  • Communicate with sales, supply chain, production, logistics, and warehousing teams on a regular basis, ensuring our customers' needs are met and exceeded
  • Organize work to meet deadlines, prioritizing tasks and managing time effectively
  • Assist the sales department in growing customer business, providing exceptional service and support to drive growth and loyalty

Essential Qualifications

  • High school diploma required; associate's or bachelor's degree preferred
  • 2-3 years of experience in a customer service role, preferably in the grocery, food, or retail channels
  • Strong computer skills, including proficiency in Microsoft Excel and Outlook; experience working with Sage X3 or similar ERP systems is a plus
  • Familiarity with EDI transaction sets and ability to learn and adapt to new systems and processes
  • Able to thrive in a fast-paced environment, remaining calm under pressure and working with a high sense of urgency
  • Dependable, results-oriented, and self-directed, with the ability to work well independently or in a team
  • Organized with high attention to detail, accuracy, and follow-through, maintaining a high level of productivity and efficiency
  • Above-average communication skills, both written and verbal, with the ability to effectively interact with customers, colleagues, and vendors
  • Strong interpersonal skills, with the ability to build and maintain strong relationships with customers and internal stakeholders

Preferred Qualifications

  • Experience working in a remote or virtual environment, with the ability to self-motivate and manage time effectively
  • Knowledge of the grocery, food, or retail industries, with a strong understanding of customer needs and expectations
  • Experience with customer relationship management (CRM) software and other customer service tools and technologies
