Remote Hotel Operations & Executive Support - Long Term
We are a growing hospitality investment and management company operating a portfolio of independent and branded hotels across Arizona and California. We're hiring a remote Executive & Hotel Operations Support Assistant to work directly with the company president in overseeing operations, managing initiatives, and driving daily priorities forward.
This is not a property-level GM role. We already have a strong property team in place. We're looking for someone who can serve as a strategic right hand—helping track performance, manage tasks across the portfolio, organize communication, and follow through on the things that move the business forward.
What You’ll Be Doing
Hotel Portfolio Oversight
•Track occupancy, ADR, revenue, and guest feedback across all properties
• Follow up with vendors, staff, and managers to ensure tasks are completed
• Create SOPs, to-do systems, and summaries from hotel manager calls
• Spot operational inefficiencies and suggest process or automation improvements
• Monitor OTAs, review marketing listings, and keep property content up to date
• Assist with light revenue management (e.g., reviewing reports, rate changes)
Executive & Strategic Support
• Join internal and external calls; take notes and summarize action items
• Manage the founder’s calendar and organize meeting schedules
• Draft emails, memos, and investor or team updates
• Keep a master project/task tracker across all hotels and special initiatives
• Provide research and prep materials for acquisitions, financing, or real estate projects
Systems & Automation
• Build and maintain SOPs and internal playbooks (Notion, Google Drive, etc.)
• Use tools like ChatGPT, Make.com, Zapier, and Trello to automate workflows
• Organize files, guest data, contracts, and key documents for easy access
• Assist with daily and weekly reports across properties
Optional: Personal Brand & Content Support
• Repurpose podcast or speaking content into posts
• Help create and schedule social media or newsletter content
• Coordinate ad-hoc projects: e.g., investor decks, real estate analysis, mentorship materials
What We’re Looking For
• Proactive problem solver who follows up and gets things done
• Highly organized with strong project and task management skills
• Strong communicator – clear, professional, and confident in written English
• Tech-savvy – comfortable working with modern tools and AI platforms
• Background in hospitality, real estate, or operations is a plus
• Experience supporting a U.S.-based business (especially in hotels or STRs) is preferred
