Client Services Officer-WMG Non-Exempt Reports To: WMT Manager Supervises: This job has no supervisory responsibilities Novato Location or Sacramento, CA Hybrid schedule General Summary: Provide trust administration support to enable Trust Officer(s) to effectively manage the administration of fiduciary accounts while maintaining an optimal level of client service. Essential Job Functions: • Perform day-to-day functions on assigned accounts accurately and by necessary deadlines (i.e. open accounts, close accounts, transfers, wire requests, process bills, cash receipt, handle all IRA Required Minimum Distributions for the department, tax payments, etc.) • Monitor accounts on a daily basis for overdrafts and uninvested cash and keep Trust Officer informed. • Client, analyze and research account problems and recommend solutions as appropriate. • Establish and maintain an orderly record-keeping system ensuring maintenance of confidential accounts files and special reports. • Order supplies for the team as needed. • Resolve client requests and refer complex inquiries to Trust Officers. • Read and understand Trust Agreements and related documents for administrative purposes. • Build and maintain effective working relationships with other team members to ensure high-quality and timely administration of assigned fiduciary accounts. • Monitor corporate action, process proxies, and due diligence reports for sub-advisors. • Maintain compliance with all internal policies and procedures as well as regulatory requirements. • Provide backup to other Client Service Officers when needed. • Create and maintain professional rapport and mutually agreeable working relationships with clients in order to sustain the account relationship. • Handles special projects as needed by the team. • Will participate (under the direction of supervisor) in educational sessions that enhance knowledge in Trust and Investments. (e.g., attending Estate Planning Council meetings and seminars). Job Skill Level / Additional Requirements: • Proficiency in dealing with difficult clients and providing superior customer service. Ability to remain calm and resolve service issues in challenging situations. • Discretion of confidential personal, estate planning, and financial information of clients is mandatory. • Solid computer skills required (Word, Excel, Powerpoint, Outlook) • Excellent written and verbal skills and ability to draft original correspondence. Excellent organizational and analytical skills are highly desirable. • Strong numbers orientation and attention to detail. • Polished and able to work on and manage multiple tasks and projects with varied and changing priorities. • Able to work well on a diverse team, and flexible with the pressure of high volume and multiple deadlines. • Follow established procedures, as well as solve problems creatively • High energy and enthusiasm are desirable traits. Professional Experience: • 3 - 5 years related experience and/or training. Educational Experience: • Bachelor's degree (B.A.) from a four-year college or university; or equivalent combination of experience and/or training.
