Our mission is to advance knowledge while fostering a sustainable, inclusive future. As a member of arenaflex, you’ll be part of a purpose‑driven organization where every interaction has the potential to impact global research and improve lives.

Why This Role Matters

In the fast‑moving world of post‑sales support, the Order‑to‑Cash (O2C) process is the lifeblood that connects our product promises to real‑world value delivery. As a Customer Success Order‑to‑Cash Associate, you will be the pivotal bridge between internal stakeholders—sales, product, finance, and account support—and both external and internal customers. Your commitment to excellence will ensure that orders are processed accurately, entitlements are granted promptly, and revenue is recognized without friction, ultimately preserving the trust that our customers place in arenaflex.

Key Responsibilities

  • Customer Experience Stewardship: Serve as the primary point of contact for order‑related inquiries, consistently delivering a seamless, professional, and memorable experience.
  • Order Ownership: Manage the full lifecycle of orders from receipt through invoicing, coordinating with product, sales, and account support teams to guarantee on‑time delivery of services.
  • Entitlement Management: Process access and entitlement requests within agreed‑upon turnaround times (TAT) while maintaining the highest quality standards.
  • Communication Excellence: Respond to phone and email queries using best‑practice guidelines, ensuring clear, courteous, and solution‑focused communication.
  • Adherence to SOPs: Follow documented business processes, Standard Operating Procedures (SOPs), and training modules to maintain compliance and operational consistency.
  • Root Cause Analysis (RCA): Investigate escalations, conduct thorough RCAs, and develop corrective and preventive actions (CAPAs) to mitigate repeat issues.
  • Quality Assurance: Participate in regular quality audits and implement feedback to continuously improve team performance.
  • Collection and Invoicing Support: Act as a key resource for collections activities, ensuring invoices are accurate, dispatched on schedule, and any payment issues are resolved swiftly.
  • Reporting & Insight Generation: Create complex, data‑driven reports that highlight trends, bottlenecks, and opportunities for process enhancement.
  • Continuous Learning: Develop an in‑depth understanding of arenaflex’s product portfolio, market positioning, and the broader O2C ecosystem.

Essential Qualifications

  • Minimum 2‑3 years of experience in a customer‑facing or service‑oriented role, preferably within a technology, publishing, or SaaS environment.
  • Demonstrated problem‑solving abilities, with a track record of resolving issues using existing frameworks and resources.
  • Proficiency in Microsoft Office Suite, especially advanced Excel (pivot tables, VLOOKUP, macros) and the aptitude to learn new enterprise systems quickly.
  • Fluent written and spoken English with excellent interpersonal communication skills.
  • Ability to thrive in a matrix organization, collaborating across functions and geographies.
  • Flexibility to work varied shifts aligned with business needs across UK, US, and India time zones.

Preferred Qualifications & Nice‑to‑Have Skills

  • Experience with order management platforms (e.g., Salesforce CPQ, SAP SD, Oracle Order Management) or similar ERP systems.
  • Familiarity with financial processes such as invoicing, collections, and revenue recognition.
  • Knowledge of data visualization tools (Power BI, Tableau) for creating impactful reports.
  • Prior exposure to a fast‑growing tech or publishing company with a strong focus on customer success.
  • Certification in customer service excellence or process improvement methodologies (Six Sigma, ITIL).

Core Competencies for Success

  • Customer‑Centric Mindset: Ability to see each interaction from the customer’s perspective and act proactively to exceed expectations.
  • Analytical Rigor: Strong quantitative skills to interpret data, identify patterns, and recommend actionable improvements.
  • Adaptability: Comfort navigating evolving priorities, shifting business demands, and new technology rollouts.
  • Collaboration: Proven teamwork skills, with a knack for building relationships across functional boundaries.
  • Attention to Detail: Accuracy in order entry, entitlement processing, and financial documentation.
  • Time Management: Ability to multitask, prioritize, and meet tight deadlines without compromising quality.
