This is not just an administrative role — this is a ground-floor opportunity with a rapidly growing firm. You'll be our first operational hire, responsible for building and managing all business systems, automation, and back-office operations from the ground up. As we grow, you'll grow with us, transitioning into a management role where you'll train and lead future team members.

What You'll Build & Manage
CRM & Client Systems (Primary Focus)
• Build and scale our Go High Level CRM from the ground up
• Design automated workflows for client onboarding, communication, and service delivery
• Create dashboards and reporting systems for client relationship tracking
• Implement systems that allow our principals to focus on revenue generation
Business Automation & AI Integration
• Identify opportunities to automate repetitive tasks across all business functions
• Leverage AI tools (ChatGPT, Claude, automation platforms) to increase efficiency
• Build templates, workflows, and processes that scale as we grow
• Stay current on emerging tools and technologies that can benefit the firm
Back-Office Operations
• Manage all administrative functions including scheduling, correspondence, and documentation
• Coordinate with external service providers (CPAs, attorneys, compliance partners)
• Handle client communications with professionalism and attention to detail
• Maintain organized digital filing systems and document management
Client Experience & Communication
• Participate in client-facing Zoom calls with poise and professionalism
• Support client onboarding and ongoing relationship management
• Ensure every client interaction reflects Hampton Hillcrest's premium positioning
• Act as the operational liaison between clients and our principals
Requirements:
• 1-2 years of professional experience in operations, administration, or business systems
• Must - Go High Level CRM expertise - Hubspot (or demonstrated ability to master it quickly)
• Proven automation skills using tools like Zapier, Make, or similar platforms
• AI-fluent – comfortable using ChatGPT, Claude, and other AI tools daily
• Exceptional communication skills – both written and verbal
• Tech-savvy with ability to learn new platforms quickly
• Detail-oriented with strong organizational skills
• Working hours - 9 am - 5 pm CST.
