Position Overview

As a Part-Time Order Processing & Data Entry Specialist at arenaflex, you will be the critical link between our customers, sales representatives, and the supply chain. You will manage spare parts sales orders from initial entry through delivery, while also handling returns, exchanges, and consignment transfers. This role offers a competitive hourly rate of $25–$28, flexible part‑time scheduling, and the chance to develop specialized expertise in an industry where accuracy and responsiveness are paramount.

Key Responsibilities

  • Customer Interaction & Support: Serve as the primary point of contact for internal sales teams, external clients, and service technicians, addressing pre‑sale inquiries and post‑sale order issues for domestic and international shipments.
  • Order Lifecycle Management: Accurately enter new orders, acknowledge receipt, process revisions, and generate required shipping documentation in accordance with arenaflex policies.
  • Reverse Logistics Coordination: Receive and log return requests (RMA), create trouble tickets, and manage exchanges and repairs, ensuring timely resolution and proper credit issuance.
  • Database Maintenance: Update arenaflex's order management system with real‑time status of returns, repairs, replacements, and delivery schedules; maintain meticulous records of inventory adjustments.
  • Documentation & Filing: Organize and file all service information, shipping forms, and customer communications to guarantee easy accessibility for the broader team.
  • Consignment & Transfer Management: Oversee the transfer of consigned materials, track shipments, and coordinate customs clearance in partnership with transportation carriers and brokerage firms.
  • Reporting & Analysis: Generate regular reports on order fulfillment performance, return rates, and inventory health, providing insights that drive process improvements.
  • Continuous Improvement: Identify bottlenecks, propose automation opportunities, and collaborate with IT and operations teams to streamline workflows.

Essential Qualifications

  • Associate degree or equivalent combination of education and experience.
  • 1–3 years of proven experience in order processing, data entry, or customer support within a logistics or manufacturing environment.
  • Demonstrated ability to interact professionally with customers, sales representatives, and cross‑functional teams.
  • Strong command of Microsoft Office Suite, especially Excel for data manipulation and reporting.
