Business Operations Integration Manager (Remote, U.S.)

Job Overview MySpectrum Counseling & Coaching is a fast-growing, mission-driven behavioral health organization (Inc. 5000 #244 in 2023). We’re hiring a hands-on operations leader to run our weekly execution engine—driving KPIs and removing friction across the client journey: inquiry → intake → scheduling → first appointment → clinician utilization. What you’ll do Run weekly operating rhythm: scorecard review, accountability meeting, action tracking Own workflow improvements across intake, scheduling, capacity, and client experience Build simple dashboards and KPI definitions (Sheets/Excel) Track demand vs. capacity and identify near-term constraints (open slots, ramp time) Create and enforce SOPs, checklists, and QA routines Lead projects end-to-end (scope, milestones, risks, delivery) Manage a lean admin model: 4 offshore (Philippines) + ≤2 onshore through workflows, documentation, and performance metrics Coordinate operational handoffs with billing/RCM support to reduce preventable issues KPIs you’ll influence (baseline first, then targets) Speed-to-contact, lead-to-scheduled conversion, time to first appointment, show rate Clinician utilization/open-slot rate, onboarding ramp time Offshore productivity + QA, SOP adherence, scorecard accuracy Must-haves: 5–10 years operations experience (healthcare/services or high-volume scheduling preferred) Proven experience running scorecards + weekly accountability meetings Experience managing remote and/or offshore teams using SOPs, QA, and metrics Strong project execution: consistently ships improvements Calm, direct communicator; low ego; solutions-focused Preferred Therapy/behavioral health operations (multi-state a plus) Familiarity with TherapyNotes, Zendesk, or similar systems Forecasting/capacity planning comfort To apply: Please submit your resume.
