POSITION SUMMARY: An Informatics Support Coordinator acts as the essential bridge between the technical clinical systems (like the Electronic Health Record, or EHR) and the end-users (nurses, doctors, and administrative staff). Duties include but are not limited to focus on maintaining system function and user efficacy. This role will be well versed in Informatics Support Specialist duties to cover as needed but will directly oversee the Informatics Support Specialists and report to the Informatics Manager. This role requires flexibility to maintain departmental workflows and stability. The Informatics Support Coordinator will step in as needed to cover specific duties in the absence of the Informatics Manager or Informatics Support Specialists. While this is a remote position, it may from time to time require some in-person visits to the central office or clinical sites. JOB FUNCTION: Responsibilities include, but are not limited to: • Fill gaps in absence or needs of Informatics Support Specialist as listed on job description of that role. • Proper management of PTO requests and timecard closing for Informatics Support Specialists. • Manage and mentor Informatics Support Specialist staff, their duties, performance and conduct reviews (supported by reports/observation/feedback). • Investigate reported issues where the system isn't functioning as expected, find the root cause, and resolve the issue independently, with the team or with the vendor’s assistance. • Participate in the testing phase of minor system upgrades or patches to ensure new features or fixes do not break existing clinical workflows. This duty extends to the implementation of EHR integrations or interfaces with the EHR. • Monitor ticket queues to enforce departmental protocols and policies, ensuring timely resolution. • Communicate trends to team or team members for standardizing practices within the department. • Create all new hire profiles and follow through with all needs related to that new hire/profile. • Conduct training sessions for all new hires or existing staff on how to use specific features of all clinical systems. • Under guidance by the Informatics Manager, update/maintain training guides (written/verbal/video), frequently asked questions (FAQs) and all end-user material Tracking training schedules and outcomes. • Build and maintain the Informatics home page with important updates, upcoming training dates, and other EHR resources/knowledge base to assist team and end-users. • Running reports to monitor applicable EHR use. Working with the data team to communicate needs for different initiatives and existing reports. • Use reports, or monitoring to influence change management across different systems or workflows, as well as identifying and creating reports to reflect findings • Escalate to Informatics Manager technical, clinical, or political issues that need attention (e.g., critical system downtime, patient safety issues, departmental disputes within or external). • Assist in establishing, enforcing, and auditing data quality/security (e.g., HIPAA compliance), and data standardization policies across the entire organization in collaboration with clinical and operational departments.
