With a strong focus on employee development and well-being, we offer a supportive and inclusive work environment that encourages collaboration, creativity, and innovation. **Why You'll Love This Job:** As a Staff Assistant, you'll have the opportunity to work on a wide range of administrative tasks, including: * Scheduling meetings and events * Writing and editing documents * Managing phone calls and emails * Coordinating travel arrangements and accommodations * Processing financial transactions and managing budgets * Maintaining accurate records and reports * Providing exceptional customer service and support **Key Responsibilities:** * Assist with the planning and execution of management presentations and special events as required * Manage, audit, and screen local invoices through InvoiceWorks and disperse as needed * Investigate and resolve office technology issues, including phone and copier machines * Track and ensure employees complete onboarding obligations, including system access, workspace setup, and training * Assist with station event planning, coordination, and execution (e.g., team-building activities, lunch meetings, and recognition events) * Handle financial processing in Workbrain for management and care staff * Process deprivation letters and arrange local communications and responses * Oversee employee terminations, including approvals and tasks as required * Assist with timekeeping capabilities, data entry, data validation, and reporting * Maintain accurate employee records and station meeting plans, including monthly crisis response * Access and manage various intermittent reports, including performance, review, cost, employee engagement, and recognition * Update required manuals and maintain all security-related items * Serve as backup for other financial capabilities * Oversee records for OSHA, security, and other regulatory requirements (301's, weekly, and annual) * Assist with budget planning and reconciliation, including monthly closeout of landing charges * Uphold auditing exercises as required * Track and confirm incentive reserves earned * Liaise with CRE/Offices and vendors to follow local projects, as needed * Lead/coordinate work with other care staff, as needed * Perform other duties as required **What You'll Need for Success:** * Bachelor's degree in a related field (e.g., business administration, communications, or a related field) * Previous office/administrative experience (at least 2 years) * Strong knowledge of Microsoft Office, including Word, Excel, PowerPoint, and Outlook * Familiarity with industry-standard software and systems (e.g., InvoiceWorks, Workbrain) * Excellent communication, organizational, and time management skills * Ability to work in a fast-paced environment and handle multiple tasks simultaneously * Self-motivated and detail-oriented with a strong work ethic * Ability to understand the concepts and functionality of specific software and systems **What You'll Get:** As an arenaflex employee, you'll enjoy a comprehensive benefits package, including: * Medical, dental, vision, and prescription coverage * Virtual doctor visits and flexible spending accounts * 401(k) program with company matching contributions * Employee Assistance Program (EAP) and pet insurance * Discounts on hotels, cars, travel, and other perks * Opportunities for professional growth and development * A supportive and inclusive work environment that encourages collaboration, creativity, and innovation **Join the arenaflex Team:** At arenaflex, we're committed to creating a workplace that's inclusive, diverse, and supportive of all employees.
