Tech Integration Expert: Zapier + CRM Automation + Marketing Automation (Ongoing Work Available
Project Description: We are seeking an experienced integration specialist to streamline and automate our marketing operations, client pipeline, and CRM workflows. We need someone who can review and correct our current integrations, update platforms as needed, and create seamless integrations between our core business tools. Up to 20 hours per week, with potential for long-term work. US time zones required. Must be able to join live meetings and collaborate in real time.
We would very much like to find someone who can engage in longer-term contract work on a rolling basis for our company.
Integrations and Core Platforms Include:
- Zapier (automation platform - primary integration tool)
- Calendly (scheduling)
- Stripe (payment processing)
- Softr (client portal/database)
- Pipedrive (CRM)
- Google Workspace (Gmail, Drive, Sheets, Calendar)
- Automate client appointments and scheduling integrating our coaching platform and Calendly.
- Automate intake and lead capture from multiple sources
- Create workflows that automatically categorize and funnel clients into appropriate Pipedrive stages
- Sync payment data from Stripe to update client status in CRM
- Connect scheduling events to trigger follow-up sequences
- Eliminate manual data entry and reduce human error
- Build reporting dashboards that pull from multiple sources
Beyond the initial few weeks of heavier engagement, we hope to identify someone interested in ongoing work (between 5-20 hours per week after initial setup depending on advanced skills and your suggestions of upgrades and build-out).
Monitor and optimize existing integrations
Troubleshoot issues as they arise
Implement new automation workflows as business needs evolve
Provide training and documentation for our team
Suggest efficiency improvements based on data flows
REQUIRED SKILLS & EXPERIENCE
Proven experience with Zapier (multi-step Zaps, conditional logic, filters)
API integration experience (REST APIs, webhooks, authentication)
Specific platform experience: Pipedrive, Stripe, Calendly, Softr
Google Workspace automation (Apps Script is a plus)
Marketing automation and funnel optimization understanding
CRM pipeline design and management
Strong documentation skills
Ability to explain technical concepts to non-technical team members
Nice to Have:
SQL or database query experience
Previous experience replacing ineffective marketing systems
Understanding of lead scoring and qualification workflows
What Success Looks Like:
Week 1-2: All core integrations functional and tested
Week 3-4: Team trained, documentation complete, monitoring in place
Ongoing: Minimal 5% error rate, measurable time savings, clear pipeline visibility
Our Current Challenge:
We need to bring technical capabilities into consistent use with someone who can actually build functional systems rather than just talk about strategy.
Project Details:
Budget: $35-175/hour (depending on experience)
Initial commitment: 20 hours (Week 1)
Ongoing: 5-20 hours/week retainer (negotiable based on performance)
Timeline: Start ASAP, initial setup within 1-2 weeks
Communication: Weekly check-ins, email and meetings or ongoing questions.
US time zones required. Responsiveness during agreed-upon work hours.
