Project Coordinator
Wyld is a leading cannabis edibles and beverages company headquartered in the Pacific Northwest. The Project Coordinator will be responsible for administrative duties behind cross-functional projects, ensuring they are completed on schedule and within budget while facilitating effective communication among stakeholders.
Responsibilities
- Project Planning & Stakeholder Communication
- Collaborate closely with stakeholders to develop a project plan outlining the scope, deliverables, timelines, schedules, resources and budget if needed, to support project leadership and key stakeholders in keeping projects on schedule, within budget and functioning effectively
- Serve as the primary point of contact for stakeholders and vendors, providing regular updates on project progress, addressing concerns, and managing expectations ensuring all pertinent individuals remain well-informed of project advancements and any necessary modifications
- Direct project correspondences by preparing templates, scheduling meetings, taking meeting notes and following up with recaps and actionable items
- Oversee the use of technology for project and department operations, such as video conferencing technology, presentation software and other communications technologies
- Lead and motivate cross-functional project teams by fostering collaboration, communicating effectively, assisting in resolving conflicts, and ensuring that all team members understand their roles and responsibilities
- Scheduling internal and external meetings, note-taking and facilitating pertinent meetings, communicating meeting notes, assigning action items and deliverables, notating key changes, and identifying risks and key milestones within the project history
- Identify and log potential risks; collaborating with stakeholders to mitigate future risks
- Report project risks live as they come in, ensuring escalation to appropriate stakeholders
- Manage change communication to project scope, schedule, and impact on project objectives or outcomes; coordinating with stakeholders to implement changes effectively to teams
- Serve as a liaison between company teams and external resources; Deepen partnerships with outside resources, including third-party vendors and researchers
- Maintain accurate project documentation and reporting; including project plans, progress reports, vendor quotes and other relevant records to stakeholders as needed
- Additional duties and responsibilities may be assigned based on business needs
Skills
- Education and Experience preferred: Bachelor or Associate degree w/no experience; OR no degree and 1+ years experience
- Demonstrated experience managing self (time, materials, priorities, creating systems)
- Highly organized, able to wear multiple hats, and accomplish a multitude of tasks in fastmoving environment
- Strong interpersonal skills and ability to professionally interact with managers, staff and officers at all levels of the organization with diplomacy and professionalism
- Computer Skills: Microsoft suite (core applications), Google, Slack, experience in Jira and/or other project management platforms and software preferred
- Language Skills: Must be able to effectively communicate in English, both verbally and written
- Math Skills: Possess basic mathematical skills; addition, subtraction, multiplication and division
- Travel Requirements: Occasional travel required between buildings and sites
- Ability to maintain/manage confidential information
- State regulations require all applicants must be 21 years of age or older
- Will be required to submit to a background check
- Must obtain all applicable state-required permits, licenses, and certifications
- Computer Skills: Microsoft suite (core applications), Google, Slack, experience in Jira and/or other project management platforms and software preferred
