[Remote] Junior Event Coordinator
Note: The job is a remote job and is open to candidates in USA. CMG Financial is a company in the hospitality and event industry seeking a Junior Event Coordinator. The role involves planning and coordinating events, managing vendors, and ensuring client satisfaction while adhering to budgets and timelines.
Responsibilities
- Administrative duties as needed including but not limited to managing approval and tracking of smaller company events across the organization
- Work with the Event Team and Event Stakeholders to understand goals and objectives, requirements, parameters and budget for each event
- Plan event with attention to financial and time constraints
- Create reliable financial reports
- Remain under budget with all costs
- Book venues and schedule speakers
- Research vendors (catering, decorators, musicians etc.) and choose the best combination of quality and cost
- Negotiate with vendors to achieve the most favorable term in conjunction with Manager and Legal
- Manage all event operations (preparing venue, invitations, etc.)
- Handle final checks on the day of the event (e.g. tables, technology) to ensure everything meets standards
- Oversee event happenings and act quickly to resolve problems
- Evaluate event’s success and submit report
- Stablishing and maintaining relationships with vendors and venues
- Planning event details and aspects, including seating, dining, and guests
- Manage events and address potential problems that may arise
- Planning for potential scenarios that could impact the integrity of the event
- Communicate directly with Management, Executive Team and Event Stakeholders throughout the event planning process to achieve event goals and objectives
- Coordinate guest list and vendor specifications
- Working closely with the Events Team to ensure event success
- Other projects assigned by Manager
Skills
- Bachelor's degree in related field or equivalent work experience
- Ability to support West Coast hours
- Familiarity with event planning process
- Proficient in MS Office
- Excellent vendor management skills
- Communication and interpersonal skills
- Strong Organizational skills
- Able to handle stress and remain calm
- Strong problem-solving ability
- Able to work well individually and in a group with little oversight
- Keeping checklist and milestones up to date
- Detailed-oriented and reliable with good time management skills
- Budgeting and Logistics preferred
