Job Role Overview

As a Remote Customer Service Representative and Dispatcher at arenaflex, you will play a pivotal role in ensuring our customers receive top-notch service and support. Your primary responsibilities will include handling inbound phone calls for scheduling service and maintenance for our Residential Department, maintaining our customer database, making daily outbound phone calls, and efficiently routing technicians based on location. Additionally, you will be an integral part of maintaining a positive and collaborative team atmosphere within the dispatch team, contributing to the overall success of our operations.

Key Responsibilities:

  • Manage inbound phone calls in a professional and courteous manner to schedule service and maintenance appointments for residential customers.
  • Maintain the accuracy and integrity of our customer database by ensuring all information is up-to-date and correctly documented.
  • Perform daily outbound phone calls as required, which may include follow-ups, reminders, or other communications necessary for customer service and relations.
  • Efficiently route technicians to job locations based on geographical considerations to optimize service delivery and reduce response times.
  • Contribute to a positive and supportive team environment by collaborating with dispatch team members and other departments as needed.
  • Adapt to a dynamic work schedule that includes both in-office and remote work arrangements, ensuring flexibility and reliability in your role.

Schedule and Work Arrangements

Your work schedule will be divided between in-office days and remote workdays. Specifically, you will be required to work in the Chantilly office on Wednesdays from 8AM to 5PM, with a one-hour lunch break. On Mondays, Tuesdays, Thursdays, and Fridays, you will work remotely from home during the same hours, also with a one-hour lunch break. This hybrid schedule offers the benefits of both in-person collaboration and the flexibility of remote work, allowing you to manage your time effectively and maintain a healthy work-life balance.

Qualifications for Success:

To excel in this role, you should possess the following qualifications:

  • Previous Experience: At least 1 year of experience in a call center environment, demonstrating your ability to handle customer inquiries and issues professionally.
  • Typing Skills: The ability to type at a speed of approximately 70 words per minute, ensuring efficiency in data entry and communication tasks.
  • Call Volume Management: Proven capability to handle high volumes of calls while maintaining composure and providing excellent customer service.
  • Teamwork and Independence: The ability to work independently as well as collaboratively within a team, contributing to a positive and productive work environment.
  • Geographical Knowledge: Familiarity with the main cities and locations in Northern Virginia, which is essential for efficient routing of technicians and understanding customer locations.
  • Data Management: Accuracy in documenting information into our customer database, utilizing Service Titan, to ensure all customer data is up-to-date and accessible.
