Virtual Assistant – Admin & Logistics Coordinator (CPG/Freight)

Virtual Assistant – Operations & Admin Support for Fast-Growing Food Distributor (Airtable/Google Workspace/Excel)
Overview:
Allied Grocers is a rapidly scaling national distributor specializing in overstock and liquidation consumer packaged goods (CPG). We are seeking a highly organized, detail-oriented Virtual Assistant to support our operations, logistics, and administrative workflows.
This role is ideal for someone with experience in freight coordination, CPG logistics, and Airtable systems, who thrives in a fast-moving, remote-first environment.
✅ Key Responsibilities:
Complete and submit vendor and customer onboarding forms (credit apps, shipping profiles, tax forms)
Coordinate and track freight pickups and deliveries with carriers, warehouses, and customers
Maintain clean, organized folder structures across internal systems (Google Drive and Airtable)
Update and manage a master logistics and payment calendar, including:
Pickup & delivery dates
Carrier & PRO numbers
Load weights and product info
Payment status
Assist with invoicing, load reconciliation, and Airtable CRM data hygiene
Requirements:
2+ years of experience in virtual operations, logistics, or executive assistant work
Fluent in Airtable, Google Workspace, and Microsoft Excel
Able to independently organize documents, track deadlines, and coordinate moving parts
Excellent written communication and task management
Highly organized, resourceful, and able to anticipate needs
Familiarity with CPG, wholesale, freight, or 3PL coordination preferred
Logistics:
Time Zone: Must overlap at least 8 hours/day with US Central Time (CST)
Hours: 10–20 hours/week to start, with potential to grow
Rate: Please include your desired hourly rate
Take-Home Interview Project (Required):

Build a simple logistics & payments tracker (in Google Sheets or Excel), including:

Vendor / Customer
Product
Weight
Carrier
PRO Number
Payment Status
Record a screen-share video:
Narrate your process
Walk us through folder setup and the calendar
Describe how you'd maintain this each week
Submit: A link to your video (via Loom, Drive, Dropbox, etc.) when you send your proposal.
