About the Role

We are looking for a highly skilled and experienced Remote Administrative Specialist to join our Education Department. As a key member of our team, you will be responsible for providing exceptional customer service to our members, managing administrative tasks, and ensuring seamless operations in a digital setting. This is a full-time remote position that offers a unique opportunity to work with a dynamic team and contribute to the growth and success of our organization.

Key Responsibilities

  • Provide friendly, accurate, and professional customer service to members via phone and email, maintaining a calm and positive demeanor even in challenging situations.
  • Navigate and interpret government websites and legal documents to ensure compliance with requirements.
  • Accurately submit official paperwork to government agencies on time, adhering to departmental standards.
  • Communicate professionally with government agencies and industry professionals to build strong relationships and resolve issues.
  • Upload, manage, and verify data to ensure consistency and adherence to departmental standards, utilizing tools such as Google Workspace.
  • Maintain and edit website content with a focus on accuracy and clarity, ensuring a seamless user experience.
  • Proactively schedule and manage multiple self-directed projects to meet deadlines, prioritizing tasks effectively and demonstrating exceptional organizational skills.
  • Assist in troubleshooting minor technical issues and provide support to others as needed, utilizing tools such as screen sharing and video conferencing.
  • Provide constructive feedback on internal system upgrades to development staff, contributing to the continuous improvement of our operations.
  • Attend and staff vendor booths at conventions at least once a year (with additional travel opportunities if desired), representing InterNACHI and promoting our services.
  • Perform other administrative tasks as required, demonstrating flexibility and a willingness to adapt to changing priorities.

Essential Qualifications

  • Minimum of a High School Diploma or equivalent, with a strong foundation in administration and customer service.
  • At least 1 year, 2 preferred, of remote work experience required, with a demonstrated ability to stay organized and efficient in a virtual setting.
  • Exceptional attention to detail and organizational skills, with the ability to juggle multiple projects and prioritize tasks effectively.
  • Strong customer service skills with clear, concise verbal and written communication abilities, and a proven track record of building strong relationships with customers and stakeholders.
  • Experience interacting with government agencies or handling legal paperwork is a plus, with a strong understanding of compliance and regulatory requirements.
  • Confidence and clarity communicating with colleagues in written form (Emails, Slack messages, Shared Document Editing), with a strong ability to collaborate and work effectively in a remote team environment.
  • Flexibility; every day looks different, and the ability to adapt to changing priorities and deadlines is essential.
  • Must be available to work 8:00 AM - 5:00 PM Monday through Friday (MST), with a reliable internet connection of at least 25 Mbps.
  • Typing speed of 40 wpm or better, with proficiency in Google Workspace tools and experience with Adobe Acrobat and Mac OS preferred.
  • Spanish bilingual strongly preferred, with the ability to communicate effectively with diverse stakeholders and customers.
  • Colorado [Front Range] residents strongly preferred, with a strong understanding of the local community and a willingness to travel for conventions and events.
  • Ability to lift up to 50lbs during travel, with a willingness to represent InterNACHI at conventions and events.

Preferred Qualifications

  • Associate's or Bachelor's degree in a related field, such as business administration, communications, or education.
  • 2+ years of experience in a remote administrative role, with a proven track record of success in a virtual setting.
  • Experience with customer relationship management (CRM) software and other administrative tools, with a strong ability to learn and adapt to new technologies.
  • Certifications or training in administration, customer service, or a related field, with a commitment to ongoing learning and professional development.
