Payroll and Timekeeping Specialist – Hourly Non-Exempt Reports to: The Payroll and Benefits Manager M-F 8:00 AM to 4:30 PM PST. Remote Position The Payroll and Timekeeping Specialist, in conjunction with the Payroll and Benefits Manager, is responsible for managing and tracking employee time in ADP for over 600 multi-state employees. This role ensures accurate record-keeping for payroll and compliance purposes and supports the payroll process to guarantee that employees are paid accurately and on time. Additionally, this position serves as the primary backup for the Payroll and Benefits Manager and requires experience in processing multi-state payroll for both hourly and salary-exempt, as well as non-exempt employees. Key responsibilities include collecting and verifying timecards, ensuring accurate entry of time and attendance data into the payroll system, resolving discrepancies, and reconciling all timecard issues before payroll processing. The Payroll and Timekeeping Specialist must effectively resolve complex timekeeping issues by researching problems, contacting employees for resolution, and collaborating closely with the Human Resources department to ensure that all new hires, separations, and other employee changes are entered and updated into ADP prior to payroll processing. Must have practical knowledge and experience in Pre and Post payroll reports, such as, timecard exception reports, unused deductions, payroll register, statistical summary, and labor distribution reports. The ideal candidate will possess strong interpersonal skills to build and maintain effective working relationships with employees, project partners, vendors, and others encountered in their work, all while upholding SEE’s principles of excellent customer service. They will also have solid experience and understanding of the duties and responsibilities associated with this role. Duties and Responsibilities: • Effectively track and manage employee work hours, attendance, and time off for payroll and compliance purposes. • Conduct daily reviews of timecard exceptions reports to identify and resolve any discrepancies. Contact employees each day to ensure all issues are addressed and resolved before payroll processing. • Collaborating with the Payroll and Benefits Manager to manage daily payroll operations. • Promptly address payroll-related inquiries from employees with accurate information. Including ADP direct deposits, ADP timekeeping training, and other payroll-related issues. • Participate in bi-weekly HR meetings to ensure all employee changes are accurately recorded and updated in ADP: new hires, separations, furloughs, LOA’s, severance agreements, payrate changes and FT/PT status before each payroll run. • Review and audit the bi-weekly payroll with the Payroll and Benefits Manager to ensure proper payroll processing, such as benefit deductions, vacation accrual, holiday pay, overtime, and leave of absence validation. • Assist in multi-state payroll processing and serve as a backup to the Payroll and Benefits Manager. • Perform general ledger accounting tasks related to payroll entries. • Reconcile payroll accounts and ensure accurate general ledger reconciliation. • Support departments in generating payroll reports and creating customized reports for auditing purposes. • Participate in open enrollment activities and gain knowledge in benefit administration. • Respond to all government agency notices as related to payroll taxes, and upload to ADP when appropriate. • Support the Project Balance Team, updating payroll and benefits liabilities. • Other duties as assigned. Experience and Qualifications: • A minimum of an associate's degree in a related field, along with (5) five years of experience in payroll processing and timekeeping role. • A bachelor's degree in accounting or finance is preferred. • High Volume Payroll and timekeeping processing experience is essential for this role. • Strong attention to detail and accuracy is essential. • Proficiency in timekeeping software and payroll systems, such as ADP Workforce Now, is a plus. • Excellent communication and interpersonal skills are required. • A solid understanding of payroll processing and labor laws is necessary. • Proficiency in Microsoft Office Suite is required, with advanced skills in Excel. • Nonprofit Experience preferred, not required.
