Position Overview
We are offering an exciting opportunity for a seasoned administrative professional to take on a Principal Secretary role, providing critical support to our leadership team and staff. This position requires a highly organized and detail-oriented individual with excellent communication and interpersonal skills. As a remote employee, you will have the flexibility to work from anywhere in the USA, while maintaining regular communication with our team.
Key Responsibilities
- Administrative Support: Plan, organize, maintain, and update a variety of files, records, and databases, ensuring accuracy and confidentiality.
- Communication and Correspondence: Greet visitors, students, and staff; answer incoming telephone calls; provide information or take messages; and refer to appropriate staff.
- Attendance and Scheduling: Record staff attendance; arrange substitutes for planned absences; and coordinate staff coverage.
- Document Preparation: Prepare correspondence, reports, documents, and memos working from notes and direction; compose routine correspondence independently.
- Budgeting and Financial Management: Monitor school budget; verify account activity; and assist with annual budget preparation.
- Procurement and Inventory Management: Prepare purchase orders for office, classroom, or activities supplies; place orders; verify receipt; and prepare invoices for payment.
- Field Trip Coordination: Coordinate field trips; notify bus company; set schedules; ensure parental consent; and coordinate staffing needs.
- Substitute Staff Management: Prepare and review substitute staff timesheets; forward to District Office for payroll processing.
- Equipment Maintenance: Contact outside services for office equipment repair as needed.
- Collaboration and Project Management: Work effectively with staff to coordinate and establish work schedules for planned projects.
- Calendar Management: Maintain and publish school calendar.
- Bussing and Transportation: Handle bussing questions and resolve problems.
Requirements and Qualifications
Essential Qualifications:
- Education: High school diploma or equivalent required; associate's or bachelor's degree preferred.
- Experience: A minimum of 2-3 years of administrative experience, preferably in an educational setting.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); experience with database management and general office equipment.
- Communication and Interpersonal Skills: Excellent written and verbal communication; strong interpersonal and customer service skills.
Preferred Qualifications:
- Certification: Administrative certification or training; experience with AppliTrack or similar applicant tracking systems.
- Experience: Previous experience in an educational setting; experience working with confidential information.
